About the job

PA duties - To provide efficient and effective support and assistance to the ExCo, including:
• Managing the diaries, arranging meetings, accommodation, and travel.
• Processing cash and credit card expenses claims.
• Amending and formatting papers, presentations, and other documents.
• Preparing ad hoc letters and emails.
• Reviewing emails, meeting invitations, and responding where necessary.
• Managing the logistics of Board, ExCo and Full Staff meetings.

HR Administration:
• Maintaining a record of all changes to pay and benefits and ensuring they are included accurately in the monthly payroll run.
• Ensuring compliance with Auto-enrolment regulations.
• Administering the recruitment and new starter process, including advertising, dealing with recruitment agents, arranging interviews, writing offer letters and contracts, conducting background checks, and gaining references, ensuring inclusion on insurance policies and on payroll, etc.
• Managing the annual bonus and LTIP process, including ensuring LTIP records are kept up to date, applying the annual Scheme returns correctly and communicating information to employees.

Office Management:
• To act as the organisation’s day to day point of contact with the building facilities management provider, other building tenants and building concierge.
• Identifying and reporting any issues relating to office management.
• Liaising with the building facilities management provider to ensure all issues are rectified in a timely manner.
• Acting as the main contact with the Health & Safety consultant to ensure the company complies with all relevant Health & Safety legislation and ensures adequate fire marshal and first aid cover across both offices.
• Ensuring all relevant insurance policies are in place and up to date, including office & contents Insurance, Employers Liability Insurance and Public Liability Insurance.
• Ensuring all contracts and agreements are adhered to in relation to facilities management, e.g., cleaners, window cleaners, and building management.
• Management of office stationery, including checking stock levels, ordering replacement stock, and issuing as required.

 Salary £30-32k depending on experience
